For removal companies

Removals Software For UK Removal Companies

Trust Your Move is removals software that follows a job from the first enquiry to the paid invoice: leads, phone surveys, signed estimates, the job pipeline, diary, crew job sheets and reports in one place.

Who it is for

Built For Small And Growing Removal Firms

If you run home, office or part-load removals with a handful of vans, a surveyor and a crew, this replaces the diary, the spreadsheet of leads and the paper job sheets. It is also for firms that store customers’ goods: removals and storage share one client record and one invoice run, and you can switch off whichever part you do not use.

  1. 1

    Enquiry

A customer fills in your enquiry form, or a lead provider sends the details. It lands in your Leads inbox and gets an automatic reply.

  2. 2

    Survey

You or a surveyor list rooms and items on a phone, on site, by video or by phone call.

  3. 3

    Estimate And Contract

You send an itemised estimate. The customer accepts online and signs. Both sides get a PDF.

  4. 4

    Job, Crew And Day

The job moves along your pipeline, goes in the diary, and the crew work from a job sheet on the day.

  5. 5

    Paid And Reviewed

Extras become an invoice, receipts go out on payment, and the customer is asked how it went.

  6. 6

    Reports

See conversion, job profit, days booked, crew hours and why you lost work.

Enquiries

Enquiries And Lead Feeds In One Inbox

Every firm gets a public removals enquiry page with a CAPTCHA-protected form. You can also put the same form on your own website with a one-line embed that resizes to fit.

  • Enquiries land in Leads with a readable reference such as LD-000017.
  • New enquiries get an automatic email reply that you word yourself, with the customer’s first name, your firm name and phone, move date and postcodes filled in.
  • Add phone, walk-in, referral and email leads by hand, then mark them New, Contacted, Survey booked or Quoted.
  • Repeat enquiries from the same email and collection postcode are flagged as duplicates within a number of days you choose.
  • Lost leads get a reason, such as Price too high or Date not available, so your reports show where work goes.
  • On Pro and Enterprise, each lead source gets a secret address that providers can post JSON to. Reallymoving leads have their own reader; other providers work if they can send standard JSON.

Surveys

Phone Surveys With Your Own Item Catalogue

Surveys are done on a phone or tablet: on site, by video, by phone or from a customer’s own list.

  • Pick rooms and items from a catalogue you can edit, add free-text items, set quantities and flag fragile ones.
  • Volume is held in cubic metres, with cubic feet shown beside it, or you can type a quick total volume instead.
  • Mark per-item actions such as dismantle, reassemble, wrap, crate, disconnect and reconnect.
  • Attach photos to the survey.
  • On Starter and above, a survey draft and its photos stay on the device with no signal and sync when you are back online.
  • Email the customer a PDF of what was surveyed, with no prices or internal notes.

Estimates

Estimates With Online Acceptance And Signed Contracts

Build an estimate from the job with itemised lines and services from your own service list, each with a default price and VAT.

  • Mark lines as optional so the customer can tick or untick them before accepting.
  • The customer opens a private link, accepts with a drawn or typed signature, states the declared value of their goods and passes the CAPTCHA.
  • Cooling-off wording defaults to the UK Consumer Contracts Regulations approach, and you can edit the wording, liability amount and clauses under Settings.
  • A signed PDF with a SHA-256 hash is stored and emailed to the customer and to you. Acceptance records are sealed against changes in the database.
  • If you change an estimate after the customer opened it, they cannot accept the old version.
  • Customers can decline online and say why. Sending an estimate creates a follow-up callback task.

Job pipeline

A Job Pipeline You Define Yourself

Jobs move through stages you control, shown as a board or a list. Types are Home, Office, Part load, International, Storage only and Other.

  • Standard stages: Lead, Survey booked, Surveyed, Survey sent, Estimated, Accepted, Deposit paid, Crew assigned, Job done, Reviewed, Balance paid, Chasing and In storage.
  • Switch stages off, rename them, change their colours, or skip stages on a single job. Lost, Cancelled and Completed always stay.
  • Every move is recorded on the job timeline.
  • Each job page has Overview, Survey, Diary, Sheets, Documents, Invoices, Notes and Timeline tabs.
  • Link a job to the customer’s storage booking so it can reach In storage. Removals and storage share one client record and one invoice run.
  • Pro and Enterprise add a costing worksheet: crew hours, vehicles, mileage and materials against your quoted price, with a suggested price at your target margin.

Diary, crew and vehicles

Diary, Crew And Vehicles Without Double Booking

The diary has entry types for Survey, Box drop, Pack, Removal, In transit, Unpack, Storage in, Storage out, Callback, Holiday and Vehicle off road, in calendar or list view.

  • Use All day, AM, PM or timed windows, and repeat entries on a schedule.
  • Assign several crew members and vehicles to a day. The same person or vehicle cannot be booked twice in overlapping windows.
  • Holidays and off-road days block the whole day.
  • Vehicles hold MOT, service, insurance and tax dates, with overdue and due-soon flags 30 days ahead.
  • Drivers complete daily walk-around checks from a list you set, and defects stay open until the office clears them (Starter and above).
  • Pro and Enterprise add a crew and vehicle resources grid.

Job sheets

Job Sheets With Timestamps, Photos And Signatures

The crew open a mobile job sheet showing only the sections you choose, such as addresses, access, inventory, volume and notes. No money is shown.

  • Record Arrived, Loaded, Delivered and Done times, and tick items loaded and delivered.
  • Write condition or damage notes and take photos, resized for weak signal.
  • Add extras on site and turn them into an invoice for the job.
  • Collect the customer’s signature. The signed sheet is sealed with a hash and emailed to them.
  • A banner shows when there is no signal, and crew actions queue on the device and sync later.
  • A reminder email goes to the crew the evening before the job.

After the job

Satisfaction And Reports

After the job, the customer gets an email with a private link to score the move from 1 to 5 and leave a comment. The score is stored on the job and shown on the client profile and in the portal.

The removals reports cover pipeline conversion, job profit and loss, days booked, crew hours and lost-work reasons, with CSV export. Job profit needs Pro or Enterprise costing, and figures follow what each person is allowed to see.

Control

Control Who Sees What

Surveyors can be limited to their own surveys and leads, and crew and drivers see only their assigned job sheets with no money. Every module can be switched on or off per firm.

Pro and Enterprise add named custom roles and data scope. Pro and Enterprise also add read-only API access to leads and jobs, and webhooks for lead.created, job.stage_changed and job.completed.

Removals Software Questions

Can I use Trust Your Move for removals only, without storage?
Yes. When you sign up you choose self-storage, removals, or removals and storage. A removals-only firm does not see units, bookings or movements. You can also switch individual modules on or off later.
Does it work with no mobile signal?
Surveys can be filled in on a phone without signal and sync when you are back online, on Starter and above. Crew job sheets keep what the crew enter on the device and sync later. They are web pages in the phone browser, not a native app.
Which lead providers can send enquiries to Trust Your Move?
On Pro and Enterprise, each lead source gets its own secret address. Reallymoving leads have their own reader. Other providers, or your own website, can post standard JSON to the same kind of address. Forwarding provider emails is not supported.
Is the e-signed contract legally approved?
The customer accepts online and signs, and Trust Your Move keeps a record of the acceptance and a signed PDF. The default cooling-off wording follows the Consumer Contracts Regulations approach, but it has not been reviewed by a solicitor. You can edit it, and you should take your own advice on your terms.
Can my customers see how their move is going?
Yes. The customer portal has a My move page showing each job’s stage, booked days and times, addresses, volume, the signed job sheet copy and invoices, and the satisfaction form once the job is done. Internal notes and costs are not shown.
Does it send text messages or connect to Xero?
No. Customer messages go by email. For accounts you can export invoices and payments as CSV files ready for Xero, QuickBooks, Sage or a spreadsheet. These are file exports, not live connections.
